Privacy Policy

1. Who we are

Persist Notes is a desktop app (macOS and Windows) that records, transcribes, and organizes meetings. It is developed by Controlled Technology Ltda. (ControlLed), CNPJ 18.305.811/0001-66, headquartered at Av. Cidade Jardim, 414, Bloco Torre 02, Apt 135 – Jardim Satélite, São José dos Campos – SP, CEP 12231-675, Brasil, ("we").

Sales are made through Paddle (Paddle.com Market Limited), which acts as our authorized reseller (merchant of record): Paddle processes the payment, issues the receipt, and collects the taxes. Paddle handles payment data according to its own privacy policy.

2. The principle

No audio and no transcripts are sent to Persist Notes. Recordings, transcripts, and meetings stay on your computer, in a folder you choose. We don't have access to them.

3. What stays only on your computer

  • The audio of your recordings.
  • Transcripts and summaries in .md files, including your notes and any images pasted into them.
  • Your voice profile, if you use Record my voice, and other people's voice profiles, if you turn on voice recognition and record their consent. Voice profiles are biometric data: they stay only on your computer, never in the meeting files, and can be deleted in the app at any time.

4. What goes to Claude (Anthropic)

To generate the summary, the app sends Claude the transcript text and your notes (without the images). Query features, such as Ask your meetings and the period summary, send excerpts of your meetings.

This is done by the Claude Code installed on your computer, with your own Claude account. Anthropic is a provider you contract with directly; the processing of this data follows Anthropic's terms and privacy policy. Persist Notes does not receive or store this content.

The audio, the images in your notes, and voice profiles are never sent to Claude.

5. Data we process

For your account and plan to work, we process:

Legal bases (Brazil's General Data Protection Law, LGPD, art. 7; GDPR, art. 6): performance of a contract, for the account and the plan; legitimate interest, for security and abuse prevention; compliance with a legal obligation, where applicable.

6. The persistnotes.com website

  • Analytics: we use Cloudflare Web Analytics, which doesn't use cookies and doesn't identify visitors.
  • Language cookie: the lang cookie stores the chosen language for one year. It is functional and is not used for tracking.
  • Pricing page: loads Paddle.js to show prices in your currency and open the checkout. Paddle may use cookies needed for payment.
  • Hosting: the website is served by Cloudflare, which processes technical connection data (such as the IP address) to deliver the pages and protect the service.
  • We don't use advertising pixels or third-party tracking tools.

7. Summaries shared by link

When you choose Share link on a meeting, the app sends to the persistnotes.com website:

  • the meeting's title, date, and duration;
  • the participants' names;
  • the summary (summary, key points, decisions, next steps, and open questions);
  • the language, the expiration period, and your plan type.

The audio, the transcript, and your notes are never sent.

  • Who can access it: anyone with the link. The page doesn't appear in search engines.
  • For how long: for the period you choose (7 days, 30 days, or no expiration). When it expires, the summary is deleted.
  • How to revoke: in the app, on the meeting itself, at any time. The summary is deleted immediately.
  • Usage limit: to prevent abuse, the IP address of whoever creates links is used to count how many links were created that day. The count is deleted within 2 days.

When you share, you are responsible for having the right to disclose the content and the participants' names.

8. Who we share data with

Only with providers needed for the service, who process data on our behalf:

  • Paddle: payments, taxes, and receipts;
  • Cloudflare: hosting of the website, downloads, and shared summaries;
  • Supabase: accounts, licenses, and plan usage;
  • Resend: account emails (such as sign-in codes).

We don't sell personal data.

9. International transfer

Some providers are located outside Brazil and the European Economic Area (for example, in the United States and the United Kingdom). In these cases, we adopt the safeguards provided for in the LGPD and the GDPR, such as standard contractual clauses.

10. How long we keep data

Account data is kept while the account is active. After the account is deleted, the data is erased within 30 days, except what the law requires us to keep longer (for example, tax records, which are kept by Paddle).

11. Your rights (LGPD and GDPR)

You can request, at any time:

  • confirmation and access to your data;
  • correction of incomplete or inaccurate data;
  • deletion of your data and your account;
  • portability, information about sharing, objection to processing, and withdrawal of consent.

Write to support@persistnotes.com. We respond within 15 days. You can also file a complaint with Brazil's National Data Protection Authority (ANPD) or with the data protection authority in your country.

12. Security

We use encrypted connections, restricted access, and providers with recognized security practices. Since the content of your meetings stays on your computer, its protection also depends on the security of your computer.

13. Minors

Persist Notes is intended for people aged 18 or older. People under 18 may use it only with the authorization and supervision of a parent or legal guardian.

14. Changes

If this policy changes in a significant way, we will notify you in advance by email or in the app. The date of the last update is at the top of this page.
